This Privacy Policy explains how RoofFlow AI (“RoofFlow AI,” “we,” “us,” or “our”) collects, uses, and protects information when you use our service. By using RoofFlow AI, you agree to the practices described here.

1. Information we collect

We collect the following categories of information:

  • Account information — your name, business name, email address, and business phone number, provided when you sign up.
  • Billing information — handled by our payment processor, Stripe. We receive subscription status and limited billing metadata; we do not store full payment card numbers.
  • Lead and conversation data — phone numbers, messages, and details exchanged between your business and the people who contact it, including data generated when the AI qualifies a lead.
  • Usage data — activity within the dashboard and basic technical logs used to operate and improve the service.

2. How we use information

We use the information we collect to:

  • provide and operate the service;
  • send automated SMS replies and qualify leads on your behalf;
  • display leads, conversations, and analytics in your dashboard;
  • process subscription billing;
  • notify you about urgent leads, account activity, and service issues;
  • maintain security and improve reliability.

3. SMS handling

The service sends and receives SMS text messages on your behalf through a phone number assigned to your account. Message content and phone numbers are processed and stored so the conversation history is available in your dashboard. Standard message and data rates may apply to recipients. You are responsible for ensuring your use of SMS messaging complies with applicable laws and carrier rules, including obtaining any consent required to contact your customers.

4. AI-generated responses

Replies sent to the people who contact your business are generated by an automated AI system. To produce those replies, conversation content is sent to our AI provider for processing. AI-generated messages may occasionally be inaccurate or incomplete; you are responsible for reviewing leads and conversations. We do not sell your data or your customers’ data.

5. Third-party service providers

We rely on a small number of trusted service providers to operate RoofFlow AI. These providers process data only as needed to provide their service to us:

  • Supabase — database and authentication hosting.
  • Twilio — telephony and SMS delivery.
  • OpenAI — AI processing of lead conversations.
  • Stripe — subscription billing and payment processing.
  • Resend — transactional email delivery.

6. Data retention

We retain account, lead, and conversation data for as long as your account is active and as needed to provide the service. After account closure, we may retain certain information as required to comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your data by contacting us.

7. Data security

We use reasonable technical and organizational measures to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your choices

You can access and update your account information from within the dashboard. You may cancel your subscription at any time from the billing page. To request access to, correction of, or deletion of your data, contact us using the email below.

9. Subscription billing

RoofFlow AI is a monthly subscription. Subscriptions renew automatically each month until cancelled. You may cancel at any time, there are no long-term contracts, and payments are non-refundable except where required by law. Full billing terms are described in our Terms of Service.

10. Limitation of liability

To the maximum extent permitted by law, RoofFlow AI is not liable for indirect, incidental, or consequential damages arising from the use of the service or from the handling of data by third-party providers. Our overall liability is limited as described in our Terms of Service.

11. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, by notice within the service.
